Title: Project Coordinator
Reports To: Project Manager
Executive Summary of Position
The Project Coordinator works closely with the Project Manager and various members of the Northec staff to prepare comprehensive action plans, including resources, timelines, and budgets for projects. The Project Coordinator performs coordinating tasks including schedule and risk management, as well as administrative duties, such as document control and progress reports. Success in this role requires excellent time management and communication skills, with the ability to collaborate with clients and internal teams, to deliver results on time and on budget.
Job Duties and Responsibilities
- Assist the Project Manager and Site Superintendents in project administration and field work for heavy civil and mining projects;
- Assist in the drafting of project proposals, budgets, and schedules;
- Coordinate project schedules, resources, equipment, and information;
- Liaise with clients and various stakeholders to define project requirements, scope, and objectives;
- Maintain regular communication with Site Superintendents and record construction activities;
- Monitor project progress, and address issues as they arise;
- Develop and implement quality control programs;
- Analyze risks and opportunities;
- Identify and resolve conflicts within project teams and associate work; create contingency plans to mitigate risk;
- Follow up on notices of change – estimation, negotiation, bid to client, issuance of contract modifications, delivery planning, and drawings;
- Establish tools and work methods to monitor working hours, work plans, and expenditures;
- Collaborate in monitoring the correction of deficiencies;
- Create and maintain comprehensive project documentation, plans, and reports.
- Establish and maintain the necessary communications with subcontractors, professionals, and the client;
- Ensure client requirements and industry standards are met throughout the life of the project;
- Actively take part in construction site meetings;
- Follow up on requests for final acceptance and release of project holdback;
- Maintain contact with subcontractors for the management of the end-of-contract documents to be obtained (warranty, maintenance sheets, “as built” plans in mechanical-electrical, spare materials, etc.) and for repairs under guarantee; ensure follow up;
- Prepare post-mortem documents for project managers;
- Perform all other tasks as assigned by the Project Manager.
Requirements / Aptitudes Required
- Civil or Mining Engineering degree/diploma and 5-7 years of direct work experience in heavy civil construction or mining; or an equivalent combination of technical training and experience;
- Knowledge of estimating, construction costs, scheduling, and purchasing required;
- Strong computer skills and experience, specifically with Microsoft Office Suite and MS Project;
- Bilingualism in English and French is a strong asset;
- Demonstrated success in project delivery and execution;
- Highly effective negotiation, diplomatic, and conflict resolutions skills;
- Effective communication skills, verbal and in writing;
- Strong knowledge of financial management, technology management, and internal controls;

Working Conditions
- Project site/field working conditions – may include isolated locations;
- Travel is required;
- Overtime as required;
- Office work as related to site requirements including reports, accounting, email, etc.;
- Manual dexterity required to use desktop computer and peripherals;
- Combination of sitting and standing for extended periods of time;
- On-site project workspace of various conditions which may include temporary working facilities and exposure to moving, mechanical parts and vibration; high places, and various levels of outside noise and weather;
- There is some risk of injury when working with heavy equipment and power tools;
- PPE required.
